Two Weeks Before Your Event

Set Day-of Agenda with Arrival Times

What considerations are there for setting an agenda? 

  • What time do various organizations need to arrive?

  • Louisiana Appleseed aims for 1.5-2 hours for setup, and weighs this need against the following considerations:
    • Will the venue provide support staff on hand to set up the desired room layout?
    • Have you had a chance to test wifi/printers/computers? Depending on the number of attorneys and the related connections, it may be useful to allocate more time to allow on-site testing before the event begins.

  • What time to volunteers need to arrive? 

  • When scheduling volunteer arrival, find a middle ground between valuing their time and ensuring they are ready for the event. A volunteer attorney's arrival timeframe of 30-60 minutes pre-event is sufficient. This allows the attorney time to get familiar with the computer, printer, and flow of the event. It also allows them time to get coffee and mentally prepare to see people.

  • What time do support staff need to arrive? 

  • Other support staff should aim to arrive at least 1 hour before the event. There will almost always be a use for a couple extra pairs of hands to help setup, be it loading printers, ensuring chairs/tables are properly positioned, etc.
