What considerations are there for paper flow?

What additional forms or documentation do the participating legal service partners need for their record-keeping?
- Additionally, do these participating groups need copies of the legal documents? Are they creating a formal client file? Some forms may include the following:
- Citizen Attestation forms
- Retainer Agreements
- Client/Attorney relationship waivers

Event Staffing Requirements Determined
What are the considerations for determining event staffing?

Attorneys:
- The number of attorneys needed depends on registration. If each attorney can reasonably serve approximately 1 client an hour and we have 30 registrants over a 4 hour slot, then we should be aiming to provide at least 8 attorneys.
- When recruiting attorneys, it is important to note that it is not necessary for the attorneys you seek out to be well versed in estate law. The Legacy App is designed with attorneys not practicing in this area in mind. However, that does not mean your volunteer attorneys should go in blind. At Appleseed, we offer 1-2 on-demand CLE’s to assist attorneys in becoming better acquainted with the will-writing program. Attorneys should have access to this as soon as possible. We also recommend giving them access to the program itself sometime in the week leading up to the event, or asking them to come early enough to familiarize themselves with the program prior to assisting clients.

Support Staff:
- While there is no formula for support staff, they can be used for helping clients navigate the process, registration/check-in, and paper flow. The more rooms you are utilizing for consults, the more walk-ins you expect, and the number of coordinating legal organizations (meaning more paper flow), the more support staff will be required to ensure a great event.

Tech Support:
- Appleseed provides one tech support person per event, but as the size and complexity increases, it may be useful to have an additional staff member trained on tech and available to address printer and connectivity issues.

Intake Specialists:
- Determining this number is critical to the success of your event should you anticipate walk-ins. Generally speaking, the more the merrier. Because clients seeking this assistance often have other legal issues (divorce, custody, etc.) it is a good chance to advertise other legal services that partners offer and get clients into the legal service ecosystem.
Keep a list of the number of event staff needed and the total you have secured.
